The Handoff Problem

An engagement ends. Scenarios are built, test runs are complete, defects are logged and resolved. Now the client wants to own the project going forward, not just view it.

Evaficy has a purpose-built path for exactly this moment: Transfer Ownership, found in Project Settings under the Danger Zone tab, visible only to the current Owner.

Why Deleting the Project Isn't the Answer

Deleting looks like a quick way to hand something off, but it isn't built for that. The Delete Project option requires every scenario in the project to be removed first, so by the time deletion is even possible, the test history you built during the engagement is already gone.

Transfer keeps everything: scenarios, test runs, and defect records all stay exactly where they are. Only who controls the project changes.

Who Can Transfer, and to Whom

Owner-only, member-only

Only the current Owner can start a transfer. The new owner must already be a project member, picked from a dropdown of existing members, not typed in as an email.

No members yet, no transfer

The Transfer Ownership button itself is disabled until at least one other member exists, with a note underneath: "Add team members before transferring ownership."

In practice, the sequence is always the same: invite the client as a project member first, wait for them to accept, then transfer to them once they show up in that member dropdown.

What Actually Happens When You Transfer

A confirmation you can't miss

Clicking Transfer Ownership triggers a confirmation prompt: "Are you sure you want to transfer ownership? You will become a PO member." It tells you your own outcome before you commit.

Roles swap, nobody is removed

The selected member is promoted to Owner. You, the previous Owner, are not removed from the project. You're added back as a Product Owner (PO) member instead, so you keep working access without holding ownership-level control. From that point on, it's the new owner's call: they (or any other PO) can remove you from the project later, the same way any member can be removed, once your support period is genuinely over.

The new owner finds out automatically

Evaficy sends the new owner a system notification titled "You Are Now the Project Owner," naming who transferred it and which project. They're not left to discover it on their own.

Practical implication for agencies

Transferring ownership doesn't mean losing visibility. If the engagement includes a support period, stay on as PO and keep being useful, or leave the project separately once you're actually done.

The One Constraint That Trips People Up

Before the transfer goes through, the new owner's own plan is checked against its project limit. If the client is already at their plan's project cap, the transfer is blocked until they free up capacity or upgrade.

Why You Can't Just "Leave" a Project as Owner

A project always needs exactly one Owner, so the platform blocks an Owner from simply leaving. Trying to leave your own project returns a direct message: "Owners cannot leave. Transfer ownership or delete the project."

Two exits, not three

Transfer ownership to another member, or delete the project entirely (after removing every scenario first). For any project with real value in it, transfer is almost always the right one.

Step-by-Step: From Invitation to Full Handoff

Invite the client

Add the client's designated owner-to-be as a project member. Any role works at this stage since the transfer step promotes them regardless.

Wait for acceptance

They need to actually accept the invitation and become a member before they'll appear in the New Owner dropdown.

Transfer

Go to Project Settings, Danger Zone tab, Transfer Ownership. Pick them from the dropdown (it shows their email, name, and current role) and confirm.

Decide your own next step

You're now a PO member, not removed. Stay on for a support period, or leave the project separately once the handoff is genuinely complete.

Common Questions

Does the agency lose all access immediately after transferring?

No. The previous Owner automatically becomes a Product Owner member and keeps working access unless removed from the project afterward.

Can a transfer be undone?

Not automatically. The new Owner would need to transfer it back to you the same way, through the same Danger Zone flow.

What if the client hasn't accepted their invitation yet?

Transfer isn't possible until they're an actual project member. A pending, unaccepted invitation doesn't count and won't appear in the New Owner dropdown.

What if the client is already at their plan's project limit?

The transfer is blocked with an error until they have room under their own plan, whether that means archiving a project or upgrading.
