QA Time Tracking: Log Testing Hours and See Time per Client

A live timer and a quick timesheet, right next to your test cases, runs, and defects, with team and client totals for every month.

For QA agencies, freelance testers, and QA leads who plan or bill by the hour.

Every Hour Tied to a Project and a Category

Time tracking in Evaficy Smart Test lives in the same place as the testing itself. Each entry records the project, a QA category such as Test Cases or Test Runs, the date and duration, and a short note on what was done.

That gives everyone a clear picture: testers see where their week went, leads see the effort behind each project, and agencies get a monthly total for every client they work for.

Start a Timer From Anywhere in the App

The live timer suits work you are about to start, such as an exploratory session or a test run:

1
Open the timer from the header

The timer icon sits in the top bar on every page of the app, next to your account menu.

2
Pick a project, a category, and add details

Choose the project you are working on, one of the seven QA categories, and an optional note such as the feature or ticket you are testing.

3
Start, pause, and resume

The header shows the running time as hh:mm:ss. Pause for a meeting or a break and resume when you are back; only the active time counts.

4
Stop and log the time

Stop shows the measured duration, which you can adjust before you confirm with Log time. The entry is saved with the date, the start and end time, and your details.

A timer that follows you
Minimise the timer dialog and keep working; the header keeps counting. The timer is saved on the server, so it survives a page reload and shows the same time in another tab or on another device. Each person has one timer at a time, and Discard drops it without logging anything.

Log Past Time in a Timesheet Table

For work already done, the My time tab on the Time Tracking page has a table built for fast entry. Each row is one entry:

  • Date, plus either a Start and End time or a Duration.
  • Project, Category, and Details.
  • Add row starts a new line with the same project, category, and date as the previous one; Duplicate copies a row in full.
  • Save entries stores up to 50 rows in one go.

Duration accepts the formats people naturally type: 1:30, 90m, 1.5h, or 2h 15m. Each entry covers up to 24 hours, ends after it starts, and sits in the past. If a row needs a fix, the message appears right under it and the batch saves once every row is ready, so a timesheet is always stored complete.

Your month at a glance
Below the table, My time lists your entries for the selected month with the total, plus totals by project and by category. Entries recorded with the timer carry a small timer marker. Edit or delete any of your own entries from the same list.

Seven Categories That Match QA Work

Categories follow the shape of a testing effort, so the totals show where the time actually goes:

CategoryTypical work
RequirementsReading user stories, clarifying acceptance criteria, reviewing specs
Test CasesWriting, generating, reviewing, and updating test cases
Test RunsExecuting runs, recording results, re-testing fixes
DefectsReproducing, documenting, and verifying bugs
ReportsPreparing run reports and status updates
MeetingsStand-ups, refinement, demos, and client calls
OtherAnything that fits none of the above, such as environment setup

Who Sees What

Visibility follows each person's role in the project, the same roles used everywhere else in the app (see QA Team Roles & Best Practices):

Product OwnerYesOwn time, plus every member's time in the projectOwn entries

The Team tab for Owners, Product Owners, and Tech Leads
Pick one of your projects to see every member's entries for the month, with totals by member and by category. Filter to a single member when you need their detail. The view is read-only: each person keeps ownership of their own hours.

When someone leaves a project, their logged hours stay in the project's history, so past months keep adding up correctly.

A Monthly Time Total for Every Client

Agencies that group projects by client get a Client report tab. Choose a client and a month to see the total hours across that client's projects, broken down by project, by team member, and by category. It is the number you need for a monthly invoice or a retainer review.

Download the report in two formats. The CSV has one row per entry, with date, times, duration in minutes and decimal hours, member, project, category, and details, plus a total row, ready for a spreadsheet or an invoicing tool. The PDF carries the client's logo and product name on the cover, the totals tables, and the full list of entries, ready to send to the client.

Who sees a client report
The account that owns the client sees every project assigned to it. A Product Owner or Tech Lead on one of those projects sees the report for the projects they lead, which suits a lead who manages one engagement inside a larger account.

Clients and project assignments are set up once in Client Workspaces; Client Workspaces for Agencies walks through it. Every project you assign to a client then counts towards that client's monthly total automatically.

Months in your own time zone
The month picker follows your local calendar, so each month starts and ends at midnight where you are.

Common Questions

Can I correct an entry after the timer stopped?

Yes. Open My time, find the entry, and edit the date, times, duration, project, category, or details. You can also adjust the duration on the Stop step before the entry is saved.

Can a Product Owner or Tech Lead change a tester's hours?

Each person edits their own entries. Owners, Product Owners, and Tech Leads see the whole team's time in read-only form, so the hours always come from the person who worked them.

What if I forget to stop the timer?

Set the real duration on the Stop step and log it. A single entry covers up to 24 hours, so a timer left running overnight is easy to bring back to the right number.

Is time tracking available on the Basic plan?

Yes. The timer, the timesheet table, and the Team tab work on Basic, Advanced, and Enterprise. The client report is part of Enterprise, together with Client Workspaces.

Who can log time on a project?

Every project member with an editing role: Owner, Product Owner, Tech Lead, and QA. Viewers keep their read-only access to the project content.
